Why are customs declaration processes still inefficient?

Despite impressive advances in technology – from AI to robotics – and optimised supply chain operations, the handling of customs processes often still relies on manual, error-prone steps. Importers, exporters and even service providers continue to spend time and money on inefficient routines that don’t add value.

These hidden costs are frequently overlooked, while at the same time companies struggle to find qualified staff, workloads increase, and job satisfaction declines. Manual work also increases the risk of mistakes, leading to corrections, penalties, delays and dissatisfied customers.

If you truly want to invest in both your people and your processes, start by investigating how much time is spent on customs handling today and explore the alternatives available.

Options for managing customs declarations

Generally, there are two routes:

  • Using your own licences to file declarations directly.
  • Outsourcing to service providers under representation agreements.

    Hybrid approaches are also possible.

Practical tips to optimise your process

  • Automate using source data. Always reuse existing data from your ERP or business systems. Whether you handle declarations yourself or instruct a service provider, interfaces and datafeeds are key. If you deliver information manually, your provider will charge extra time – often reflected in higher prices and surcharges for multiple tariff lines.
  • Maintain accountability. Even when you outsource, as the importer/exporter you remain responsible to Customs. Make sure you have a traceable archiving process and clear audit trail in your systems.
  • Ensure reliable master data. Correct classification codes, preferential origin, and accurate customs/statistical values are essential to avoid errors.
  • Leverage automation to scale. Smart customs automation helps you avoid unnecessary headcount growth, while improving control and compliance. When outsourcing, monitor both quality and cost – review invoices, and run spot checks on declarations.
